These questions and answers relate to the End of Life (EOL) for specific time clocks, including TouchBase Gen4/5 clocks, TimeBase clocks, and TimeBase Rugged clocks.

Why did UKG take this action?

UKG has streamlined the Time Clock offering for legacy UltiPro time customers to maximize development and support efficiencies. This process will also consolidate supply chain logistics going forward. Certain technologies and hardware components have a limited shelf life. Occasionally, we need to make product change decisions to ensure we can continue to provide and support the features and functions required by our customer base. By selecting TouchBase Gen6 as the single, long-term physical time clock option, we are eliminating short-term supply chain risks (due to vendor component availability) and ensuring we have a secure, upgradable hardware/OS platform that will continue to serve our customers for many years to come. We made these announcements to give our customers sufficient notice to plan for the End of Service (EOS) date in 2023.

How can I determine which time clock models we are currently using?

From the UTC Host Server, navigate to the Time Clocks page and then select a clock name. On the General tab, the Time Clock Model field displays the number for the selected clock. Or, use the Type drop-down filter on the Time Clocks page to view only clocks of a certain type. Note that model information also appears on the original clock Order/Supplement Agreements.

The xx or xxx portion of the model number indicates the sub-model variant. TouchBase Gen4 and Gen5 look very similar (no major difference in physical appearance).

Do I have to replace all clocks at once? Will the new clocks interfere with the operation of my older clocks?

The addition of new clocks will not interfere with the operation of your older clocks. You can have different models as part of your time collection solution. You may choose a phased replacement of your older clocks over a longer span of time. The new clocks may have a different user interface for your employees to learn, and the new clocks may have different physical mounting specifications. However, the TouchBase Gen6 devices support all employee punch features and functions that are currently available on older time clocks. Customers can continue providing the same time collection options, even if clock models are replaced.

Can we continue to use time clock hardware devices after they reach the EOS date?

Time clock hardware devices can be used beyond the EOS date; however, UKG cannot guarantee product support or availability of replacement parts on these devices after the EOS date. In the event of a support request for a device that has reached the EOS date, UKG will use commercially reasonable efforts to resolve issues on a billable time and materials basis. If the issue cannot be resolved, the customer will need to order currently supported devices.

Does this policy change apply to customers who purchased time clocks outright as well as those who pay on a subscription price model?

Yes. The EOL notification, dates, and related changes to product support apply to the listed clock models, regardless of how the customer is billed.

For customers who purchased TouchBase Gen4/5 clocks or TimeBase clocks and pay an annual maintenance fee for support services, how does this impact existing hardware orders or maintenance agreements?

UKG will continue to honor terms of the maintenance contract, including advance hardware replacement services, until the EOS date when official maintenance will terminate. Customers can continue to use these devices without a support contract, but in the event of a hardware failure or other issue that cannot be resolved past the EOS date, customers must order and pay for TouchBase Gen6 clocks as a replacement. For customers who currently pay for TouchBase clocks or TimeBase clocks under the subscription model, how does this impact existing hardware orders or maintenance agreements?

The clocks remain the property of UKG throughout the term of the agreement, and UKG will continue to provide maintenance and support services, including advance hardware replacement, at least until the EOS date. UKG will contact subscription customers in advance of the EOS date to discuss amending the subscription agreement for newer TouchBase Gen6 devices. Our goal is to minimize disruptions to customers, and there may be some exceptions where the subscription agreement needs to be extended beyond the EOS date due to special circumstances. UKG will continue to provide full support services for customer hardware as long as there is an active subscription agreement in place, but the expectation is to ensure all subscription agreements have been amended prior to the EOS date. Customers must return older, unsupported devices to UKG upon receipt of newer models in accordance with the terms of the current Time Clock Supplement.

Does UKG provide credits for devices that are returned?

For customers on the subscription pricing model, the devices remain the property of UKG throughout the term of the agreement, so customers will be required to return existing devices in exchange for newer supported units. For customers who purchased the devices (and currently own them), UKG has no obligation to provide credits on units returned by customers; however, we may review such requests on a case-by-case basis.

What is the recommended replacement option once TimeBase clocks reach the EOS date?

Beyond the EOS date of August 31, 2025, UKG will offer one hardware clock option for future use with legacy UltiPro time systems (Time and Attendance, Time Management, or Workforce Management Classic): TouchBase Gen6.

What is the recommended replacement option once TouchBase Gen4/5 devices reach the EOS date?

Beyond the EOS date of August 31, 2023, UKG will offer one hardware clock option for future use with legacy UltiPro time systems (Time and Attendance, Time Management, or Workforce Management Classic): TouchBase Gen6.

What if we have already begun transitioning to an alternate clock solution?

It is recommended that once you have begun replacing clocks in preparation for End of Service, to continue to do so. This extension gives you additional time for the transition period to your new clock.

What if I missed the August 2024 deadline to purchase hardware maintenance?

Please create a Salesforce ticket to update your maintenance contract and a Clock Sales representative can assist you with the process.

By moving from prior models to TouchBase Gen6, will we lose any functionality that we have today?

No. TouchBase Gen6 supports all features and functions that were previously supported on older generation TouchBase clocks as well as TimeBase and TouchBase Web. You can continue offering the same features and functions to your employee base. In fact, TouchBase may expose new functionality that was not previously available on other options. TouchBase Gen6 supports optional photo-taking and facial recognition alerts to deter and alert on suspected “buddy punches.” Also, an optional biometric fingerscan module can validate user identity in real time at the clock. If you are moving to TouchBase from a prior model, a UKG Time Clock Launch consultant will ensure the new device configurations provide the features and functions required to support your workforce.

Will my TouchBase Gen6 no longer be supported?

Only the hardware for the TouchBase Gen6 will no longer be available for purchase. The TouchBase application will continue to be offered and supported with the UTC Host. UKG will provide up to two years notice prior to end of support. UKG is working on an alternate hardware that will support the application so you can continue to use TouchBase software with UKG Pro Time and Attendance, Time Management, or Workforce Management Classic.

Is there an integration option that allows TouchBase Web Clock to be used with UKG Dimensions?

No. There is no integration option for TouchBase Web Clock to UKG Dimensions. UKG Dimensions does offer a "kiosk punch" option that allows employees to quickly input punches via a web interface on any browser-based device via badge ID or number input without requiring a full user login.

What is the recommended replacement option once the TimeBase Rugged clock devices reach the EOS date?

TimeBase Rugged clock (UTB0530) is a TimeBase variant model that includes a rubberized protective enclosure, carrying handle, and extra-long battery life, which makes it suitable for harsher environments where power or network connections (and stationary mounting locations) are not always readily available. All announcements and dates for the TimeBase clock also apply to the TimeBase Rugged clock variant. UKG does offer a protective (IP-55) enclosure for the TouchBase Gen6, which inhibits water and dust intrusion. Unlike the TimeBase Rugged’s portability, this enclosure is for wall-mount installations only.

We have TimeBase Biometric Fingerscan clocks today. If we order new TouchBase clocks with finger biometric scanners, will we have to reenroll the employees?

Yes. Unfortunately, the TimeBase biometric template format is not compatible with TouchBase Gen6. If current TimeBase customers wish to continue using biometrics with newer TouchBase clocks, employees must reenroll their biometric finger template(s) on a TouchBase device before these clocks can identify/validate them at punch time. This is not an issue for older generation (pre-Gen6) TouchBase devices because these models supported the use of biometric finger validation.

Will we need new badges?

No. TouchBase Gen6 can be equipped with various badge reader options to read all badge formats that were supported in older time clock models. A UKG Time Clock Launch consultant will assist you during transition to ensure that new clocks are configured to read your existing employee badge card/fobs.
